PRESIDENT
- The president shall call and preside at all Chapter meetings of Alpha Omega Alpha Chapter.
- The president shall receive all correspondence from Headquarters and report applicable information to the chapter.
- The president shall annually submit Form A165, Annual President’s Questionnaire and a copy of the chapter’s bylaws to Headquarters by the specified date via Lyre Links.
- The President shall report to the chapter on the proceedings of the National Convention or other National, State or Province Meetings.
- Approve chapter meeting programs.
- Welcome new members to the area.
- Submit the annual national award application.
VICE PRESIDENT
- Perform the duties of the President in her absence or inability to serve.
- Write the annual newsletter, working closely with other Executive Board members for event details.
- Stand as the President’s alternate delegate to the National Convention.
- Contribute material of chapter events to the Lyre.
- Collaborate with the President on the annual national awards applications.
TREASURER
- The Treasurer shall work with other officers to determine a budget for the fiscal year.
- The Treasurer shall collect dues annually as set forth by the chapter and forward National dues to Headquarters by the published deadline.
- The Treasurer shall submit Form A105, Annual Financial Report of Alumnae Chapters, to Headquarters via Lyre Links, no later than the published deadline each year.
- The Treasurer shall sign all checks.
- The Treasurer shall file Form 990-N with the IRS annually by October 31.
- The Treasurer shall retain all records for seven years and submit the records for audit as may be required.
- The Treasurer shall maintain records to substantiate any relevant state tax-exempt status.
SECRETARY
- Keep a record of all Chapter and Board meetings
- Send copies of these minutes to the President and the Board members within 10 days of the meeting.
- Assume responsibility for official correspondence of the Chapter as directed by the President.
PARLIAMENTARIAN
- Use the rules of parliamentary procedure comprised in Roberts Rules of Order Newly Revised to govern all proceedings of the Chapter.
- Review the Bylaws and make necessary revisions in even numbered years.
- Oversee the annual slating of new officers.
MEMBERSHIP CHAIR
- Maintain membership database
- Provide Board with names of prospective new members and lead outreach efforts.
- Work to reach members on 25, 50, and 75 year anniversaries to encourage them to attend an event and be recognized.
COMMUNICATIONS CHAIR
- Manage all communications, via digital and print media, to current and prospective members including:
- AOA website
- Develop and maintain website that includes chapter information, event information and pictures, online dues payment option, Executive Board officers, etc.
- Facebook page
- Communicate and engage current and prospective members. Promote events, Alpha Chi Omega trivia and ritual.
- Email communication
- Communicate with members about upcoming events, important information, etc.
COLLUMNAE RELATIONS/ARIC CHAIR
- Serve as the primary contact between the Michigan Collegiate chapters and Alpha Omega Alpha.
- Identify ways that Alpha Omega Alpha can support the collegiate chapters.
- Facilitate the Life Loyal Scholarship, which is awarded annually.
- Serve as the Alumnae Recruitment Information Chair (ARIC).
- Help share the “alumnae” story with collegiate members and identify ways to encourage and facilitate the transition from collegiate to alumna member.
ALTRUISM CHAIR
- Organize March event, which educates the chapter and benefits local domestic violence organization(s).
- Work with local domestic violence organization to identify needs and help communicate these needs to the chapter.
PANHELLENIC REP. (ALT. PANHELLENIC REP.)
- Represent the chapter in all Birmingham Panhellenic activities and attend Panhellenic meetings.
